Who we are

Pinpoint Digital Limited (“Pinpoint Digital”, “we”, “us”, “our”) is a digital marketing agency based in Auckland, New Zealand.

This policy explains what personal information we collect when you use our website or work with us, why we collect it, and what we do with it.

We handle personal information in line with the Privacy Act 2020.

What we collect

When you contact us

If you fill in a form on our website, call us, email us, or message us on WhatsApp, we may collect:

• Your name
• Your email address
• Your phone number
• Your business name
• Whatever else you choose to tell us in your message

We collect this so we can reply to you and talk about working together.

When you visit our website

Like most websites, we collect some information automatically:

• Your IP address
• Your browser and device type
• The pages you visit and how long you stay
• The website or advert that sent you to us

We use cookies and similar technology to do this. A cookie is a small file stored on your device.

When you become a client

If you work with us, we also hold the information we need to deliver the work and bill you. That includes contact details for the people we deal with, billing information, and access to the marketing accounts you have authorised us to manage.

Why we collect it

We use your information to:

• Reply to your enquiry and provide a quote
• Deliver the services you have engaged us for
• Send you invoices and take payment
• Report to you on the work we are doing
• Improve our website and understand which marketing works
• Send you marketing about our own services, where you have agreed to receive it

We do not sell your personal information to anyone.

Tracking and advertising

We use these tools on our website:

• Google Analytics tells us how people find and use our site
• Google Tag Manager manages the tracking tags on our site
• Google Ads measures which adverts bring people to us, and shows our adverts to people who have visited
• Meta Pixel does the same for Facebook and Instagram adverts

These tools set cookies and may collect your IP address and browsing behaviour on our site. They are provided by Google and Meta, who process that data under their own privacy policies:

You can opt out. Most browsers let you block or delete cookies in their settings. Blocking cookies may stop parts of our site working properly.

Who we share it with

We share personal information only where we need to:

• Service providers who help us run our business, such as our website host, email provider, accounting software and payment processor. They may only use it to provide that service.
• Advertising and analytics platforms, as described above.
• Where the law requires it, for example a lawful request from a government agency.

Some of these providers are based outside New Zealand, so your information may be stored overseas. We take reasonable steps to make sure it is protected to a standard comparable to the Privacy Act 2020.

Client data

If you are a client, we may access marketing accounts you have authorised us to manage, such as Google Ads, Google Analytics, Meta Business, your website, and your email marketing platform.

We treat everything in those accounts as confidential to you. We do not share one client’s data with another client, and we do not use it for any purpose other than managing your account.

How long we keep it

We keep personal information only as long as we need it:

• Enquiries that do not become clients: up to 2 years
• Client records: for the length of the engagement, then 7 years to meet our tax and legal obligations
• Website analytics: as set in each platform, generally up to 26 months

Keeping it safe

We take reasonable steps to protect personal information from loss, misuse and unauthorised access. That includes access controls on our systems and restricting who on our team can see what.

No system is completely secure. If something goes wrong and it is likely to cause you serious harm, we will notify you and the Office of the Privacy Commissioner as the Privacy Act 2020 requires.

Your rights

Under the Privacy Act 2020 you have the right to:

• Ask what personal information we hold about you
• Ask us to correct it if it is wrong

To do either, email us at the address below. We will respond within 20 working days.

If you are not happy with how we have handled your information, you can complain to the Office of the Privacy Commissioner at www.privacy.org.nz.

Marketing emails

If we send you marketing emails, every one has an unsubscribe link. Click it and we will stop. You can also just email us and ask.

Other websites

Our website links to other sites, including our clients’ websites and our social media pages. We are not responsible for their privacy practices. Read their policies.

Changes to this policy

We may update this policy from time to time. The date at the top tells you when it last changed. If we make a significant change, we will say so on this page.
